Staff schedule — shifts per store
Employees → Schedule is the staff rota: who is working at a store, on which day, and from what time to what time. It is a different screen from the appointment schedule, which shows patients' bookings.
A person's regular week comes from the Work Hours tab on their employee card. This screen shows that week laid out on real dates, and is where one-off changes are made: an extra shift, a swap, a day removed.
Reading the screen
The top bar:
- Search employees... — narrow the calendar to matching names.
- Location — which store's rota you are looking at. It starts on the store you are signed in to.
- Job title — All roles, or one job title only.
- Sort — Name (A → Z) or Hours (high → low).
The calendar has Day, Week and Month views (top right) and Today plus arrows to move (top left). Weeks run Sunday to Saturday. Today's column is shaded blue. The store's opening hours for each day are printed in small grey text at the top of the day.
Each shift is a coloured block with the person's name and hours. Each person keeps the same colour everywhere on the screen.
Two kinds of label matter:
- from another store — this person belongs to another store but has a shift here that day.
- A grey dashed box at store name — one of this store's own people, working at a different store that day. It is there so you do not wonder where they went; it cannot be dragged or removed from here.
In Month view a day shows up to four names and +N more, and a count like 3/5 — people working that day, out of those working plus those off.
Only people with at least one shift in the period on screen appear.
Team activity
The panel on the right lists everyone on the calendar:
- On schedule — how many people; Avg / week — average weekly hours.
- Per person: hours per week (h/wk), number of shifts, and a bar showing how full their week is against 40 hours — amber under 60%, green from 60%, red from 90%.
- Click a person to hide or show them on the calendar. Hide all / Show all does everyone at once; Showing x / y tells you how many are visible.
- Only the people on screen when the page first loads are shown automatically. Anyone who turns up later — after you switch Location, move to another week or month, or give someone their first shift here — starts hidden: their name is faded and unticked, and their shifts are not on the calendar. Press Show all (or click the name).
- Transfer under a name moves that person to another store (see below).
Adding a shift
Two ways:
- Press the small + at the top of a day (in Month view it appears when you hover over the day). Pick the Employee in the window.
- Or drag a person from Team activity and drop them on a day. The employee is already filled in.
Then:
- Check Start and End. They start at the store's opening hours for that day (or 9:00–17:00 if the store has none set).
- Press Add.
The shift belongs to the store you are looking at — the window says at store name. End must be after Start, otherwise End time must be after start time.
Past days are read-only
Days before today cannot be changed from the calendar: there is no +, you cannot drop a person on them, and their shifts cannot be dragged. They are there to look at.
Swapping two shifts
- Drag one person's shift and drop it on another person's shift — same day or a different day.
- The Swap shifts window shows From and To.
- Tick Change template permanently if the swap should become their regular week from now on — both people keep the new days going forward. Leave it unticked for a one-off swap.
- Press Swap. Both employees are notified.
Removing a shift
Hover over a shift in Day or Week view and press the small red X. Confirm Remove in the Remove shift window.
Transferring a person to another store
- In Team activity, press Transfer under the person.
- Pick the New location.
- Press Transfer. The person gets an in-app notification.
When a doctor has patients booked
Removing, swapping or transferring a doctor who already has appointments on the affected days is refused. The window shows Doctor name has appointments, with each date, store and the number of appointments, and asks you to Reassign, cancel, or reschedule these before swapping or transferring. Move those appointments in the appointment schedule first, then come back. (In the transfer window the button turns into Retry for exactly that.)
No access to a store
A person can only have shifts at a store where they have permissions. If you add a shift, save weekly hours, swap or transfer someone into a store they have no access to, SightHub stops and shows No access to store name.
- If they have permissions at another store, it offers Give the same permissions as in: with a list of their stores. Pick one, optionally press Show what will be copied to see the list, then Give access and continue. Their permissions from that store are copied to this one and your shift, swap or transfer goes through without you having to start again.
- If there is nothing to copy from, it says to Set their permissions for this store by hand (Employees → Permissions), then try again. Press Close, set them on the Permissions tab, and repeat.
Cancel leaves everything as it was.
If the person already has a shift at another store at the same time, the server's message says so and nothing is saved.
Good to know
- Regular week vs one-off. The weekly pattern lives on the employee card under Work Hours. Changes here are for particular dates — unless you tick Change template permanently on a swap.
- Outsourced people have no weekly pattern at all; every one of their shifts is added here, day by day.
- Pick the right store first. A shift is added to the store shown in Location, not to the person's payroll store.
- The red X still shows on past days in Day and Week view, even though nothing else can be changed there.
- Someone missing from the calendar? After switching store or period, newcomers start hidden. Check Showing x / y in Team activity and press Show all.
