Getting around — the sidebar, the top bar and its quick tools

Every screen in SightHub sits inside the same frame: the sidebar on the left, the top bar with the patient search and quick tools, and a thin bar at the bottom for support. This page covers all three, so you can do the everyday jobs — find a patient, check a frame, look up an invoice — from wherever you are, without leaving the screen you are on.

The sidebar

The store at the top

The top of the sidebar shows the name of the store you are working in.

To switch:

  1. Click the store name at the top of the sidebar.
  2. Choose Set Store.
  3. The Change Store window lists every store you are allowed to use. Under each store are its warehouses, if it has any (No warehouses available if not). The store you are in now is blue, with a tick.
  4. Click the store or warehouse you want.

The change happens straight away. You see Location Changed, SightHub reloads its data for the new store, and you land on Home. Cancel closes the window without changing anything.

If the list says You don't have access to any store, your account has no store it can move to. If you get No permission when you click a store, your account is not allowed to switch: the message names the permission a manager needs to turn on — Set Store, under Employees → Permissions → Location permissions.

The menu

The middle of the sidebar is the list of sections — Home, Appointment, Patient and so on. The list depends on your role: SightHub only shows the sections your account can use, so two people at the same desk can see different menus. If a colleague has a section you don't, it is a permissions question for your manager.

At a warehouse there is no Devices section, whatever your permissions: a warehouse's only devices are label printers and scanners.

The section you are in is highlighted with a blue bar on its left.

Blue numbers next to a section mean something is waiting there — for example new appointment requests. The number and the name do two different things:

On Tasks the number is the tasks assigned to you that are still to do; on Appointment, the appointment requests not processed yet for the doctors of the store you are in.

The Requests section shows its number only to people who can approve requests — how many wait for their decision at the store, its showcase and its warehouses together. Everyone else still sees the section, for following their own requests, but without the count.

When you are in Settings

As soon as you open a settings page, the sidebar swaps to the settings menu:

Each group opens and closes with a click. See Settings — overview for what lives where.

The bottom of the sidebar

Making the sidebar smaller

The small panel button at the far left of the top bar folds the sidebar down to icons only, and opens it again. The keyboard shortcut is Ctrl+B (Cmd+B on a Mac).

The patient search

The left part of the top bar is the patient search: Name, Last Name, DOB, Phone, Address, then Search. The arrow next to the fields opens a second row with State, City, ZIP, Group Number, Insurance Company, Priority, Insurance Type, Last Exam and Exam/Invoice Location.

  1. Fill in what you know — one field is enough. Search stays grey until at least one field has something in it.
  2. Press Search or Enter.
  3. The results open as a table. Click a row to open the patient.

How to read the results is in Patient search results.

Priority in the second row does not change the results at the moment — choosing a value there has no effect.

Recent Patients

Recent Patients opens a list of patients recently opened in SightHub: Full Name, Phone, Email, Address and Date Viewed. Click a row to go straight to that patient's card.

It is the quickest way back to someone you had open ten minutes ago — no need to type the name again. An empty list says No recent patients.

Lookup Frame

Lookup Frame finds one frame by its serial number (the number on the frame's tag) and tells you everything about it. The window is called Frame lookup by Serial / F#.

  1. Type or scan the number into Serial / F#.
  2. Press Enter or the magnifier button.

If nothing comes back you see Failed to fetch frame information. Check the number and try again.

What you see

Once a frame is found, four buttons appear at the bottom: Print, Item History, Edit and Close.

Print

Print sends a label for this frame to the label printer. A message tells you whether it went straight to the printer or was queued for the computer in the clinic that runs the printer. If SightHub cannot reach the print helper on your computer, a window opens to help you set it up instead.

Item History

Item History widens the window and shows the frame's whole life:

Hide History goes back to the normal view.

Edit — changing the frame's status

Edit is for fixing the stock record of this one frame: marking it defective, writing it off as missing, putting it back into stock when it turns up.

  1. Press Edit.
  2. Write a Note — it is required. Say why: found in drawer 3, broken hinge, customer return. If the box already holds an earlier note, replace it with the reason for this change. Quote marks are removed from the note when it is saved.
  3. Under Inventory Control, pick one option. Only the options that make sense for the frame's current status can be clicked; the rest are greyed out.
  4. Press Post.

You see Item updated successfully, and the window switches to Item History so you can see the new line in the workflow. Cancel Edit leaves without saving.

What you can do depends on the current status:

Current status Options you can pick
Ready for Sale Reclassify as defective · Remove from inventory — Item is Missing · Remove from inventory — Other
Defective Remove from inventory — Item is Missing · Remove from inventory — Other · Place into stock — no longer defective
Missing Found missing item — return to stock · Found missing item — return to vendor
ICT (sent and not received) Remove from inventory — Item is Missing
Removed Found missing item — return to stock · Found missing item — return to vendor · Place into stock · Place into stock — no longer defective

For any other status nothing can be picked here.

A frame in ICT (sent and not received) is on a transfer that has not been received yet. Until it is received, or the transfer is cancelled or refused, Post is refused with a message saying so — … is in transit from … to … (transfer …): receive it first, or cancel or refuse the transfer.

Add Patient

Add Patient opens the Add New patient form — the same form used when you add a patient while booking. The fields are explained in Add a new patient during booking.

Two things are different when you start from the top bar:

The fields marked with * should all be filled in. The form itself only stops you on an empty Last or First name.

Check Gift Card

Check Gift Card tells you how much money is left on a gift card.

  1. Type the number into Gift Card Number.
  2. Press Check or Enter.

The balance appears in green as Available Balance. If the card is not found, an error message pops up explaining why.

The check also runs on its own when you click away from the field after typing at least 8 characters.

Close clears the number and the balance. If you close the window another way (the cross, or clicking outside), the last number and balance are still there next time you open it.

Find Invoice

The Find Invoice box on the right of the top bar looks up an invoice by its number.

  1. Start typing the invoice number.
  2. A Found Invoices list drops down as you type, with every invoice whose number matches.
  3. Click the one you want to open it.

An invoice shown in grey with a padlock is one you do not have access to — hovering over it says You don't have access to this invoice, and it cannot be opened.

If nothing matches, the list simply does not appear — there is no "not found" message. Check the number.

What you can do on the invoice itself is in Invoice detail.

The bar at the bottom

A thin blue bar runs along the bottom of every screen with three buttons:

Both the chat and screen sharing are explained in Support chat and Share Screen.
